B2B BUYER CHECKLIST
WHO THIS IS FOR
A strong quotation starts with a requirements sheet. It helps every supplier respond to the same table, project and delivery assumptions, so buyers can compare scope instead of only comparing a headline price.
Specifications, price, MOQ, production schedule, certification or test-report availability, packing, freight and warranty scope vary by product and destination. SUNDAYS confirms these items in a written quotation for the selected project.
DOWNLOAD FREE RFQ TEMPLATE · CSV
Open the file in Excel or another spreadsheet app. Fill the buyer-requirement column once, then send the same requirements to each supplier. The template has separate Supplier A and Supplier B response columns plus an approval-status field. It contains no assumed prices, minimum quantities or shipping terms.
A blank answer is not an inclusion. Mark each item confirmed only when a supplier has given a model-specific written answer. Record exclusions explicitly. If an item is pending, assign a next action before comparing totals. This is especially useful when one quote includes installation and another stops at the destination port.
| Example difference | Why headline prices mislead | What to request |
|---|---|---|
| Table-only vs accessory package | The same table name can include different playing equipment. | Item names, quantities and compatible formats. |
| Factory collection vs delivery | Freight and destination charges can be outside the offer. | Delivery basis and a separate list of excluded charges. |
| Standard finish vs approved branding | Artwork, sampling and packaging can add separate work. | Approval reference, revision and optional charges. |
Record the product model, selected size, playing dimensions, external dimensions and packaging dimensions as different fields. Attach the approved finish, cloth and logo references rather than describing everything as “same as photo.” Keep the final quote and its revision together so reorder requirements can be traced.
For an actual model comparison, use the X5 versus X6 guide. For pay-to-play operation, use the 7ft and 8ft coin-operated buyer page. Send the completed brief through our quotation contact page.
PURCHASE WITH CONTROL
Separate the playing format, table size, construction, finish, cloth, pockets, accessories and optional features before a quotation is requested.
State quantity, destination, target date, preferred delivery term and the items you expect to be included or quoted separately.
Record how drawings, finish samples, logo files, packing information and inspection evidence will be approved before production is released.
YOUR REQUIREMENTS SHEET
A clear requirements sheet prevents different products and commercial scopes from being treated as equivalent. Ask every supplier to state deviations and exclusions rather than leaving them implied.
SEND YOUR PROJECT BRIEF →| Decision area | Information to confirm |
|---|---|
| Project use | Home, club, hotel, academy, retail, distributor or private-label program |
| Table specification | Game format, size, construction, cloth, pockets, finish and included accessories |
| Order quantity | Model quantities, mixed shipment requirements and spare-part needs |
| Destination | Country, port or delivery address, access limits and target arrival date |
| Approval method | Drawing, sample, photo, logo artwork, finish reference and revision status |
| Delivery scope | Packing data, Incoterm, freight assumptions, unloading, installation and acceptance responsibility |
FROM BRIEF TO DELIVERY
Write the intended use, buyer type, product mix, quantity and destination in one request.
Ask suppliers to identify exactly what is included, optional, excluded or still to be confirmed.
Confirm the selected model and documented specification before production, freight or site work is booked.
Assign responsibility for delivery access, unloading, assembly, final leveling and acceptance.
WHY THE DETAIL MATTERS
Search results can make products look interchangeable. In a real order, value depends on the exact configuration, the evidence used for approval, the packing and logistics scope, and the people responsible after the goods arrive. A lower unit price does not protect an opening date or solve a table that cannot reach the room.
Start with intended use and constraints, then ask for a model-specific response. Dimensions should identify whether they describe the playing surface, finished table or packed shipment. Materials should state the relevant component. Options should be separated from included items. Commercial estimates should be labeled as estimates until the final quotation is issued.
For repeat or multi-table projects, preserve the approved references. A product name is not enough to control a later batch when finish, cloth, logo, packing or accessories can change. Give each approved document or sample a revision and record any deviation before production proceeds.
BUYER QUESTIONS
Include intended use, game format, preferred size, quantity, destination, timing, finish or branding needs, delivery access and the commercial details you need the supplier to confirm.
A shared checklist makes deviations visible. It prevents different sizes, materials, packing scopes or delivery terms from being treated as equivalent offers.
Yes. Send the product type, quantity, destination and project timing. SUNDAYS can identify the missing specification and quotation questions for the selected project.
